AI Assistant Connector Notice

Effective 25 Oct 2026. Version 1.1.

You can use some of our services through an AI assistant, such as ChatGPT, Claude or Microsoft 365 Copilot, by connecting our specialist connector to it. This notice explains what DOS & Co. Ltd. collects and keeps when you do. It adds to our privacy notice, and where the two differ about information collected through the AI connectors, this notice applies.

1. Which Connectors This Covers

ConnectorWhat you can do

The same connector is available as an agent in Microsoft 365 Copilot. Some features are not yet available on every connector; this notice covers them all.

2. What We Collect Through Your Assistant

We receive only the information each connector feature needs, when your assistant uses that feature. Depending on what you do, this can include:

  • Contact details: your name, email address and telephone number.
  • Enquiry details: what you need an account for, and details of your matter.
  • Property details: a building's or project's address and details, and the documents you upload for it, such as an award, a title register or a construction contract.
  • Compliance information: your answers to our compliance questions, including where money comes from, and your confirmations and declarations.
  • Other people's details you add: the names, email addresses and mobile numbers of people you invite as members of your account. Please tell them you have done so.
  • Account information we show you: balances and transactions on your account, with bank details always partly hidden.

Never through your assistant. We never ask for, and our connector does not accept, card details, bank log-in details, passwords, identity-document numbers or health information. Your identity check takes place on our identity provider's secure web page, not in your assistant. Signing in to your account takes place in your web browser. Our connector never moves money.

The enquiry reference code. To check an enquiry without signing in, we email you a six-digit code that works once and only for that enquiry. It is not a password and does not give access to an account.

We do not receive your conversation. Our connector receives only what your assistant sends to a feature. It cannot read your conversation, your assistant's memory or history, or your files.

3. Technical Information We Record

InformationWhy
Which assistant you used, and its versionSecurity, and to make the connector work with each assistant
A scrambled, one-way code made from your internet address (never the address itself)To prevent abuse and to limit the number of requests
The time of each request, which feature was used, and whether it succeededSecurity, fixing problems, and our record of what was asked of us

4. What We Use It For

  • To answer your enquiry, send your quote and arrange a callback.
  • To open and run your account, where you ask us to.
  • To carry out the checks the law requires before and while we act for you.
  • To keep the connector and your account secure.
  • To keep a record of each request made to us through the connector, as anti-money-laundering law requires.

We use information we receive through the connector for marketing only if you separately agree to receive marketing from us.

Every submission you make through your assistant is confirmed by you in your web browser, through a link we email to you, before it takes effect.

5. Who We Share It With

We share information collected through the connector only as our privacy notice describes, for example with identity-verification and screening providers when we check your identity. We do not sell it.

Your assistant's provider handles your conversation under its own privacy terms. Information our connector returns to your assistant becomes part of that conversation.

6. How Long We Keep It

InformationHow long
Our record of each request, where you open an accountFive years after your relationship with us ends, and up to six years where a claim is realistically possible
Our record of each request, where no account is openedTwo years from your enquiry
Technical information about the connection (section 3)Thirteen months
Documents you upload, and your account informationAs our privacy notice sets out for account and due-diligence records

These periods are extended while a complaint, claim, investigation or legal hold is open, and for as long as the law requires.

7. Your Controls

  • Use it without signing in. Enquiries, quotes, callbacks and enquiry checks need no account.
  • Confirm everything. Nothing you submit to us through your assistant takes effect until you confirm it in your browser.
  • Disconnect. You can remove the connector in your assistant's settings at any time.
  • Revoke access. In each of our client portals, go to Settings, then Connected apps and agents, to see each assistant you have connected and what it can do, and to disconnect it. Disconnecting takes effect immediately and signs your assistant out of your account.
  • See your sign-ins. In your client portal, Settings, then Security, shows where you are signed in and lets you sign out.
  • Ask us to delete. You can ask us to delete information collected through the connector. We remove the content of your requests from our records, and keep only the fact that a request was made where the law requires us to.
  • Your other rights are set out in our privacy notice.

8. Age

Our services are for adults. If you are under 18, please ask a parent or guardian to contact us instead. We do not knowingly accept information from under-18s through the connector.

9. Contact

Contact our data protection officer at privacy@dos.co, or use our request form at privacy@dos.co.
